Book Log Week #11 - Learning is Patience
Same happen to our lost due to foreign exchange fluctuation, no body seems to concern, no mitigation plan to prevent this thing happened again. While me as an engineering to me cost concern is mandatory. I think how to prevent something that will happen. Forex fluctuation is a known situation. We should not hold on to certain number because what Central Bank conclude. History is always repeated it self. And if we collect forex data exchange we could know the fluctuation and make a limit bar for maximum and minimun rate that we could bare. But NO, I could only blame the supplier who did not give us the quotation and makes us "forget" about the forex exchange that decreasing significantly in front of our eyes. 21% of our lost due to forex exchange is really ashamfull.
Lesson learnt from here is, I should have only dependent on my self as a project supervisor and as project team controller. I should have know this would coming. If there any forex drop or raise, I should have inform to contractor to provide me invoice progress ASAP. Thanks to Earn Value Management System which the old me (save the organization money and thinking to invest the money first to earn more interest) has change completely. Other company has a different system and for now, I learn new rule and I will support this rule and have to prevent more losts.
Learning is patience. Time is our teacher. I know in life is just a phase that I need to go through and share the experience so I could study and learn in the future from my past. This blog is one of the kit for me to keep on studying.
Regarding to TRANSFORMER project assignments. I am still writting to my paper assignment and want to find IDENTIFYING PROBLEM as my first chapter.

Book Log #9, Chrisma, Working with PLEASURE
Hi all.
This is my book log #9 for AACE Transformer team goals and objectives. This week I done multi tasking act. Right as my working experience and my Transformer role. Just like I said in my first blog entry, AACE certification is my goal and to achieve it really like a riding on a roller coaster, fulls of ups and downs that is good form my personal experience and lesson learnt. I usually have write this blog in my office for 8 consecutive weeks but this week my project was posponed their concrete pouring session therefore I do this blog input in my house but I overslept due to I tug my son to bed and complete together I tug my self in rest. ;)
Anyway, for this week related to my job, it seems that I have put new mark on my users head that I am the cost gate keeper of my organization's projects. I have been very strict with project cost and expenditure and not let it over budget. I am in stingy attitude and I think this role I have not been playing in my previous project before. I always runs project to over budget and this is quite shameful but my alibi is I was not the project manager back then. Now after I am planning to have CCC certification this role I have to play more often in order to raise my credibility in the eyes of my organization's.
My end users required one equipment that has 23 quantities with 7 different filter cartridges. One of the users was taking an easy choices by saying they need all 7 different filter cartridges for all 23 equipments. Me stood stand tall and call for big meeting to all parties, in the meeting finally we elaborate more about this issue. After I explain my background which is we have to split between project cost budget with operational and maintenance cost budget, and all of them accepting it. And now the final decision is we bought those 23 equipments which this is a mandatory as we are really need this equipment to fill the class, but the cartridge was not 23 no more but only 17. For me this is quite enormous breakthrough when I could stop the end "panic buying" mode to more reasonable vision, at least until the building can manage to operate first, we still could buy the cartridge on the later stage. At the end, the end users was thanked me for my ability to see more deep about cost saving. Overall the related parties was over joy because I could manage the important value of the project which is how to to get operate after project accomplished not to let over think how to maintain because maintain and operational cost has its own budget cost.
I tried to find what chapter this engineering economic paradigm of mine. Because when you have read a lot, you might do not know or forget from where you have this courage and or from what chapter of my mindsets. I realize that I have done the Engineering Economic Analysis Procedure and Chapter 6, Comparison and Selection among Alternatives.
This week I have done a lot and goes lot of places of meeting rooms. In order to clarify my running cost. Very fortunate that I have start writing my paper assignment and read GAO-09-3SP for reference. Chapter 16 in this GAO mentioned about Documenting the Estimate which I have done it in this week. In GAO there are checklist for the estimator how to creating high-quality cost estimate report. I follow the sections and finalize it. Big wish that this could arise my users (organization) aware that I have raise my personal quality.
Related to Transformer team, I am quite devastate to run a team that I do not have an authority to each other team member. This is really challenging situation because I could not reach them and get personally involve to help them to overcome their obstacle. Thank you to my mentor that keep me high spirit can teach me to see from positive perspective. I have plan for next week to create a polling to decide few maters that have been stuck for couples of weeks.

Week #8, Chrisma, Resource Planning or Planning Resource
I am also start to stepping much deeper to AACE organization by joining and start to applying to become its member. Lots of good reference for me to read on, especially about cost factor estimate. But none is talking about cost factor estimate and its correlation to number of students, type of class, lab classes or just normal classes. I do not know whether my paper is publishable or not. But I know for sure that this cost factor estimate will be a valuable information for those who would propose a development school facilities to his or her Board Of Patron.
Reading the AACE journal, is just like another day in Mahakam class again. Yes, it is so tempting to understand and going through from the author perspective is just like going in side of submarine, you will ever know what is in side the deep ocean until you see it. Understands that there are so many good PM out there that want to share their secret recipe makes me eager to share my secret recipe also (if there any... :)) Project Management is all about communications, links and delegations. That is what I understand 3 months ago. I am also wonders from one discussion in LinkedIn that a PM is not supposed to know all detail but PM should know the process and flow chart from the project.
You may says that this week I was drowning in references finding mode, so many questions buzzing in my heads, that I could read upon and implement directly to my daily work. That is why my dear assignments PM, I may not achieved sufficient progress. But I could assure you, that inside of has something grows and want to makes change.
But from as far as I know, there are no paper that stated how to collect valuable data, what part is important beside cost, additional costs and capacity (according to LANG factor). For third world country, dollar value and dollar inflation are playing a significant role in predicting to a risk within a project. Therefore, I am alsos input this information for future reference. I am considering to have a booklog for each projects in order to understand what PM do and donts in certain special occasion that what happen in the past. Just like watching "Law and Order" series, the lawyer usually take others experience as his based point of view.
In my running project, the contractor was unable to keep up my requirements to fulfil my specified needs, such planning and scheduling, delegating, working in phase and systematic, and lots more. After I am analyse, it all happen because they did not have a resource planning. They did not understands what should they provide in order to accomplish the project. They do not have OBS, and my presume they even do not understand what is OBS means....
What comes to worst is they put planning resource only to their CEO, the owner which is shows that there are not delegation is running in that company and no PM that capable to do so. One in the AACE journal is discussing about low cost contractor and bid value, that I need to read ASAP.
For TRANSFORMER team, keep up the good work, it is all comes to iron triangle, "scope, budget and schedule" to DELIVER in quality.

Chrisma Book Log #7 out of 24 and more



From my understanding that, for furniture is also considering the capacity of the work relate to how much capacity of that room. Therefore I am using this formula to determine each room need how much money to produce fix furniture. I am also try to recorded from previous project that have similarity in order to see how much is the difference room per room. But the problem that I am facing at related to the formula in AACE book is the exponent "e" that I still need to figure. By the time I finish my report to my senior I am only considering room by room without any exponent to it. I hope by next financial year I should have know that my estimation is correct or not.

Chrisma blog#5, Resource and tools to elevate work success
Story was based on my experience when my stakeholder asked me to print my draw for entire site projects, after I revise and update for only 30 minutes, the next step is to print it using plotter for A1 size. But I cannot manage to print it, it always shows error message from its plotter lamp sign not in my printer indicator from my computer desktop. I try and I try so many times, ups and downs back and forth, try to fix the cartridges, align the paper, but always indicate something wrong. I took me almost 6 hours to assure that the machine is broken. And I am also found out that the plotter is more than 10 years age. I am relying on the machine that has 10 years of age, while I have lost my valuable 6 hours that I could spent on other work. \*@*/
Early thing I do in the next day, I try to get second opinion from my IT colleague, and it took him only less than 45 minutes to decide the machine is broken. "What?!?" inside me saying this, is he a quitter? No struggling for the challenge in from of him? I ask nicely why did he decide that, he only said that we need to call the manufacture technician on this, because we have do all the process that this machine how to work. Well some time we have to let the professional do the work. This is another lesson learnt for me, I cannot pleased everybody, sometime let the truth reveal.
Another thing happen this week related to AACE class is I have add another resources in my team but the resource that I got is the "Fat boy" which nobody wants. Even the HR was asking me to be patient dealing with this person. "What?" As I recall there is not baby sitting in my job description. Well, but long story short, I have to deal with it. And use it as a external back up for any emergency happen and need additional resource as a mitigation plan.
AACE Class
I have not get any topic for my paper, this is really frustrated me so much. Feeling like wants to achieve all but that just life, we just have to be more calm and reflect more deeply. Maybe that is I have to do right now, sit back and bit more calm and think more general. This is hard for me, as I am always think detail.
I have open a linked in profile to get a good topic, but still did not have one. People says that sometime the thing you need to find is surround you, therefore I am planning to look more deep which topic is suitable for me. I have the data and information for the project construction from previous and up running ones, still I do not know what is suit to be raise as a topic.
This activity really as my super duper priority list as I have rejected several project worth $1000 for 10 weeks work. I am not complaining just sharing my days and weeks and bright future weeks after I get more deeper to Project Management using Earn Value.

P3M3 assessment that I have to do my self, I hope that this assessment is objective enough due to there is no one I could ask for. So what it is shows for the result might not reflect firmly and would be debatable with other in my organization related to dependable to another departement. As I am only 2 years in this organization.

Chris Blog#4 - Managing Work Loads
Professional Days
This week is so hectic week for me, as I have to become project supervisor for running project and I am also acting as project deputy for coming project that is on tender phase. All contractor were contacting me about my organization decision either to proceed or to hold off. I was not have decision hammer in my hand therefore I am only buying time for my administrator to decide which is suitable for organization plan.
For running project, it was way behind schedule for 1,5 month delay. Therefore, the contractor was adding their resources and creating this week from Thursday until Saturday a concrete sessions. I have to stand guard and supervise the work up until in the morning. The concreting was not allow in school hours so they can start in the evening and have to complete before school starts.
It was hard for me to sit in my workbench even for 5 minutes, I have to be in different posts and acting for different positions in different site location. It was fun though, but the problem is how to maintain the work loads and share the loads.
At first stage, I could manage up until 12 projects in my hand. But after I learn from AACE class, that there are no multi tasking but more prefer to multi processing. And from Project Management Using Earned Value, Humphreys, page 14, it takes an entire project team working together to make the project success, but only a single determined to make it failure. It emphasing how we should work together and start to delegate and covers each other.
But, back in Mahakam class, Dr PDG mentioning about the fat boy in the team will create trouble. And it is happen to me, I was assign to baby sit one team member and trying to use it to the limit for my in-hand projects. It just great, another un-written assignment that I have to bare but as a professional engineer, we should bringing solutions not creating ones, therefore I am accepting that challenge from organization.
Refers to last week assignment about ethical and unethical in work, for me, the job is done. Mater how we do it, it just your self control how to measure it. I am a professional engineer, I should have bring the solutions not creates one. and it will depend in which area that we stands. As long as greater community did not get their lost. So my decision making criteria, is for great to good. Which one is greater so they should have more advantage.

We are very late progress as well, another issue in my hand right, which we need to levelling the loads as we are trying to achieve the greater good, right? How we going to do that? We need to outsource if we cannot do it by our self. Another thing is we add more time to this. How? Like me for example, I have working from 6 AM to 1 AM every day, where it could slip through? It is my problem as why this week blog is to manage the work loads.
Finding paper topics, which is easy to mention but hard to do. The same like finding a good resolution for every year. We will never know whether is it good for us until we implement it and make the changes and every one happy.
For me, everyday is challenge, so I will be keep fighting and struggling and will always try to keep my stock holders happy.

Chrisma Week#1 for AACE
5 days in Gran Mahakam class really a starter point for me to get to know a new knowledge behind that big books (Engineering Economic, Big blue Humphreys and our AACE prep course text book). Getting to know each other is another challenge for me. To synchronize our goals, vision and mission is not a simple job. Especially in this team that we have so much in difference, but yet for Indonesian we have wise idiom, "University in diversity". No matter we have so much in different but from that we can gather strong will to achieves for our goals.
Who could ever though that this great team is full of great people to work with. Have a great sense of humour and good tactical thinking, what good recipe for team discussion. It is my great honour to know single person of you, as this is my learning process for "people management" but internationally not locally that I used to have in my days work. Synchronize the terminology is one process that simple but a good ways to maintain to use in this group discussion. I am enjoying of every debate just because we have different saying of certain thing but have similar meaning.
Back to my professional line, I have made a promise to implement this as quickly as it could. My biggest challenge is in my organization project management is not its core competency. Therefore it is hard for me to implement. Not all line managers aware of project management process and system. What it matters is deliver in quality and on time. Sometime the cost and budget can be estimated 1 school year before in order to match to my cost estimate, so I can estimate the buffer from previous projects. Which this is good to be topic for my paper. I have heard that sentences before yet until now I have not get any topic to choose because too many topics in my head. Too much choices equals confusions for me.
I wish someday that I will become a program manager to my organization, I will implement project management process 100%. I am feeling like a penguin in sahara desert. Either I am creating a big fridge or I have to get used to the sun. Yet, I am sure this project management is can implement to any business line around the world. My closest student is my wife. I teach her how to manage her clients and treating that every clients is projects that have objectives and timelines.
"Do not tell a lie to your customers!", when Dr PDG said that word, a blitz of thunder strike into my mind. This practice is rarely I heard in my nation. Sometime the customer is like a raw meat that every sales want to have a bite on. A customer should be a member of a project so we can share, discuss and get the feedback in order to match their expectation, not in other side of the table. Directly I sent short message to my wife, that what ever she do, do not saying yes constantly, before knowing the risk. Just like "YES MAN" movie, you cannot says YES all the time.
Well, this week really high performance for me. After leaving 5 days from my work. I am predicting that my desk will be full of documents and drawings that need to pass on. Yes, it really did. I have 50 centimeters documents that need to initials on. While this week I am also having additional working load from AACE. AND for 4 coming months, my department will have strategic planning for future enhance development, which I am will be involving. I have to give Gant chart and estimated cost, which I could have done it in couple of hours. But I do not know I am acting as Program or Project Manager?
Last but not least, I am still struggling and I will keep struggling to make good changes to my organization. To all my colleagues member, together we can do it. If you have any hesitation, BUZZ me in my gtalk, I am ready 24/7 to remind you why you have gone this far.
